Contacts and CRM pipeline
Updated 8 Sept 2026
CaterCloud's CRM tracks your clients, leads, and prospects. The pipeline view shows where each contact is in your sales process.
Adding a contact
- Go to Contacts → New Contact
- Enter name, email, phone, and organisation
- Tag them (e.g. Corporate, Wedding, Regular) for easy filtering
- Click Save
Contact types
- Lead — potential client who hasn't booked yet
- Client — has at least one confirmed event
- Prospect — in discussion, no quote yet
The pipeline view
Go to Contacts → Pipeline to see your contacts arranged in Kanban-style stages:
- New Lead → Contacted → Quoted → Negotiating → Won → Lost
Drag cards between columns to update the stage. Each stage can have automated follow-up sequences triggered.
Linking contacts to events
When creating an event, the client field links to a contact record. All events for that client are visible from their contact profile.
Contact activity feed
Every contact has an activity feed showing:
- Events booked
- Quotes sent and their status
- Emails and SMS sent
- Notes added
- Form submissions
Importing contacts
Go to Contacts → Import to bulk-import from a CSV. Map your CSV columns to CaterCloud fields in the import wizard.
Tags and segments
Tags let you group contacts for bulk actions. Go to Contacts → Tags to manage your tag list. Tags are used to target sequences (e.g. send a Christmas email to all Corporate contacts).
