Event costs and P&L

CaterCloud tracks costs at the event level and calculates real-time profit/loss for every booking.
Adding costs to an event
- Open an event and go to the Costs tab
- Click Add Cost
- Choose a cost type:
- Per head — multiplied by guest count (e.g. food cost $12/head)
- Fixed — flat amount (e.g. venue hire $500)
- Staff — labour costs (auto-populated from rostered shifts)
- Enter the amount and description
- Costs are saved automatically
The P&L summary
The Costs tab shows a live P&L:
- Revenue — total from the linked quote/invoice
- Costs — sum of all cost entries
- Gross Profit — revenue minus costs
- Margin % — gross profit as a percentage of revenue
Menu-linked costs
If you've built a menu in Menu → Items, you can attach menu items directly to an event. Their cost prices auto-populate the Costs tab, and their sell prices feed into the quote.
Platform-wide P&L
Go to Money → P&L to see aggregated profit and loss across all events in a date range. Filter by status, outlet, or client to slice the data.
Cost categories
Costs are categorised as Food, Beverage, Staff, Equipment, Transport, Venue, or Other. These categories appear in the P&L breakdown for reporting.
