Invoices — creating and recording payments

Invoices in CaterCloud are tax-compliant PDFs. If your business tax ID is set, they're automatically formatted as tax invoices, with the tax broken out.
Creating an invoice
- Open an event and go to the Invoice tab
- Click Create Invoice
- Review line items and totals
- Set the due date
- Click Send Invoice to email it to the client
Payment collection
CaterCloud supports online payment via:
- Stripe — connect at Settings → Integrations → Stripe
- Square — connect at Settings → Integrations → Square
Once connected, invoices include a Pay Now link that lets clients pay by card instantly.
Recording a manual payment
If a client pays by bank transfer, cash, or cheque:
- Open the invoice
- Click Record Payment
- Enter the amount, date, and payment method
- Click Save — the invoice status updates automatically
Invoice statuses
- Draft — not yet sent
- Sent — emailed to client
- Partially Paid — deposit or part-payment received
- Paid — fully settled
- Overdue — past due date with balance remaining
Xero integration
If you use Xero, connect it at Settings → Integrations → Xero. CaterCloud pushes confirmed invoices and payments to Xero automatically.
GST / Tax compliance
Your business tax ID must be entered in Settings → Business for invoices to carry the tax-invoice title and a tax breakdown. Without one, invoices are issued as standard invoices.
CaterCloud uses your market's own words and rules throughout — an ABN and GST in Australia, an EIN and Sales Tax in the United States, a VAT number and VAT in the UK and Ireland. Set your country in Settings → Business and every document follows it.
